Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, is seeking a Practice Assistant/Administrative Assistant in our Brussels office. Secretarial and Office Support
  • Providing general support to the Office Administrator in Brussels. Ability to exercise sound judgment and discretion in handling and maintaining confidential information and data;
  • Document management;
  • Maintaining archives and storage of information in the electronic document management system (Netdocs);
  • Entering invoices and expenses in the dedicated system (Chrome River) and ensure it gets approved and paid in a timely manner;
  • Assisting with conference room booking set-up when required;
  • Ordering couriers and taxis;
  • Collecting and opening mail;
  • Ordering and restocking stationery, kitchen, and office supplies;
  • Maintaining the tidiness and presentation of the conference room, office spaces, and kitchen;
  • Providing general secretarial support to the Brussels Competition and Governmental practices;
  • Liaising with other support services in other offices (billing mainly);
  • Outlook diary management;
  • Personal assistant tasks as required;
  • Processing incoming calls and take accurate phone messages when required;
  • Welcoming all visitors and offering beverages.
Required Skills
  • Experience working in a legal firm is definitely desired;
  • Excellent communication skills with attorneys, clients and other business services staff in multiple time zones;
  • Diploma in a secretarial course (BAC+3 level) is preferable;
  • Word (Advanced level) - experience with automatic paragraph numbering, ability to turn around documents quickly and thoroughly
  • Outlook (contacts/calendar);
  • PowerPoint (basic knowledge);
  • Netdocs (document management system);
  • Excel (basic knowledge);
  • Strong organisational skills;
  • Ability to work alone as well as ability to work well with others;
  • Ability to communicate clearly and effectively, both orally and in writing with attorneys, staff, vendors and external contacts and clients;
  • Language skills: very good English, desirable fluency in French and/or Dutch – German is an asset but not a requirement;
  • Ability to work overtime (although rarely). Flexibility to meet the changing needs of the office;
  • Ability to maintain positive contact with clients, attorneys and colleagues and observe confidentiality of client matters.
